When you're using outside AI tools, share the least amount of data that still gets the job done — redact names, use fake examples. The goal: just as much useful help, with a lot less sensitive information at risk.
Do this now
Open any chat tool. Here's what NOT to paste (never use real data like this): 'Summarize this email from Jane Smith SSN 123-45-6789 about her medical leave.' Instead, paste this safer version: 'Summarize this email from J.S. about a medical leave request — focus on dates and next steps only: Hi, I need leave from June 1–14, doctor note attached, please confirm manager approval path.' You're done when the reply has no SSN in it and still covers the dates and next steps.
